Privacy policy
1. Data controller
The data controller is Auxys Group, 3 rue de Genève, 69006 Lyon, France.
Contact: contact [at] auxys-group.com.
2. Data collected
The data you send us through the contact form is as follows: name, company, email address, telephone, field concerned and the content of your message.
So that the form stays available to everyone, the server keeps a hash of the connecting IP address for fifteen minutes, long enough to measure how often messages are sent. The hash is produced by a one-way function applied with a secret value held by the server, it stops being taken into account at the end of those fifteen minutes and is erased from the file the next time the form is submitted. It remains pseudonymised personal data within the meaning of the General Data Protection Regulation, and is covered by this policy as such.
Our hosting provider IONOS SARL also keeps the server’s technical logs, which record for each page viewed the connecting IP address, the date and time, the page address and the browser used. These logs serve to keep the site running and secure. This processing rests on our legitimate interest in protecting our service and keeping it available (Article 6(1)(f) of the General Data Protection Regulation). They are kept by the hosting provider for as long as that purpose requires. The same connection data is also kept for one year by the hosting provider, as French law requires, for the purposes set out in decrees no. 2021-1362 and no. 2021-1363 of 20 October 2021.
3. Purpose and legal basis
This data is used to answer requests sent through the form and, where relevant, to handle an application. Processing of business enquiries rests on the pre-contractual steps taken at your request and on our legitimate interest in replying to the enquiries addressed to us (Article 6(1)(b) and (f) of the General Data Protection Regulation). Processing of an application rests on the pre-contractual steps taken at your request.
Keeping a hash of your IP address for fifteen minutes serves a separate purpose: keeping the form available and preventing automated submissions. It rests on our legitimate interest in protecting our service (Article 6(1)(f) of the General Data Protection Regulation).
Your name, email address and message are required for us to reply; the remaining fields are entirely up to you. You may object to the processing and ask for your data to be erased at any time by writing to contact [at] auxys-group.com: your data is then erased and processing stops for the future, without affecting the lawfulness of processing carried out beforehand.
4. Retention period
Data from a business enquiry is kept for a maximum of three years from the last contact. Data from an application is kept for a maximum of two years from the last contact, unless you agree to a longer period.
5. Recipients
Within Auxys Group, only the people responsible for answering your enquiry or considering your application have access to this data. We also use the following providers, who act on our instructions: messages pass through our hosting provider IONOS SARL, established in the European Union, acting as a processor within the meaning of the General Data Protection Regulation.
Our business mailboxes are hosted by Microsoft Ireland Operations Limited. Certain technical operations may lead Microsoft to process data from locations outside the European Union, on the basis of the EU–US Data Privacy Framework and the standard contractual clauses adopted by the European Commission. A copy of the applicable clauses is available on request at contact [at] auxys-group.com.
Applications submitted from our open positions are recorded on the HelloWork Recruteur platform, operated by HELLOWORK SASU, 2 rue de la Mabilais, 35000 Rennes, France, registered with the Rennes trade and companies register under number 428 843 130, acting as a processor on our behalf and hosting that data within the European Union. Its privacy policy is available at hellowork-group.com.
6. Your rights
Under the regulations, you have the following rights:
- access to your data;
- rectification;
- erasure;
- restriction of and objection to processing;
- portability;
- giving instructions on what happens to your data after your death.
You can exercise these rights at contact [at] auxys-group.com. You also have the right to lodge a complaint with a supervisory authority, in France the Commission nationale de l’informatique et des libertés (CNIL), 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France, www.cnil.fr.
Your data is not subject to any automated decision-making or profiling.
7. Security and cookies
We put appropriate technical and organisational measures in place to protect your data. This site sets no cookies and uses no audience-measurement or advertising trackers. If you turn the music on, it keeps two items in your browser’s memory, described below. All its resources, fonts included, are hosted on our own server: no third party is told of your visit.
Your browser keeps the sound setting, on or off, as soon as you use the button provided, and carries it from one visit to the next, together with the track’s position for the length of your visit, so that the music keeps its thread from page to page; that second item disappears when you close the tab. Both stay on your device and are never sent to us.
